Office Coordinator (Brisbane based)

We are seeking a professional Office Coordinator to provide high level service and attention to Mapien, its clients, guests, and team members.

This role acts as the first point-of-contact for clients of the Mapien Brisbane Office.  You will be responsible for all facets of the client and guest welcome experience across all touch points.  The fundamental purpose of this position is to create a physical and experiential environment for all clients and team members that is the embodiment of the Mapien brand.

Your responsibilities will include, but are not limited to:

  • Provide exceptional client and internal experience
  • Maintain the client-facing and shared space areas to a high-quality standard
  • Keeping up to date with COVID requirements and ensuring the office is compliant
  • Assist with internal and external events – prepare technology, catering, administration and other required services
  • Ensure that food and beverage supplies are maintained to a level sufficient to meet the anticipated needs of upcoming client and internal events
  • Manage and prepare for internal events such as staff birthdays, farewells, key milestones etc
  • Create ideas and coordinate social and fundraising activities and events for staff
  • Play a key role in driving the Mapien culture and values to create a fun work environment
  • Managing meeting rooms, stationery supplies and other resources, often negotiating competing demands
  • Attend to the main email inbox to ensure all external communication is attended to as a matter of priority
  • Liaison with external suppliers e.g., cleaning contractor, printer reps, stationery supplier
  • Assist in new staff induction and onboarding, specifically OH&S and visitor experience
  • Provide administration support – formatting, document creation, meeting bookings and data entry

Provision of additional administrative and typing support in times of high client workflow. Other duties as required by the Administration Support Manager

Team Coordinator (Brisbane based)

We are seeking a professional Team Coordinator to provide high level administrative support to a busy and growing consulting team.

You will support the consulting team with preparing confidential investigative report documentation, managing their client relationship needs, client and job management using our online tools, and invoicing on a monthly basis.  Other administrative duties include dictation support, electronic filing, and email and calendar support for the team.

Your responsibilities will include, but are not limited to:

  • Manage the client and job needs of the team using primarily electronic tools
  • Calendar and email support for the team
  • Travel coordination for inter- and intra-state to deliver client outcomes
  • Highly confidential investigation report preparation
  • Document creation and formatting
  • Monthly invoicing for the team
  • Dictation support as needed
  • Various adhoc administrative tasks as needed

Who you are

  • You are a customer centric person, with strong writing skills;
  • You have a professional services background & knowledge, in the role as an administrator or part of a larger team;
  • You will be able to demonstrate your ability to meet deadlines;
  • You have the ability to manage conflicting deadlines and prioritise tasks;
  • You would be proficient in the MS Office Suite, and familiar with document management processes;
  • You will ideally be familiar with Xero & WorkflowMax or be willing to be trained in these tools; and
  • You will be effective at working in a highly confidential environment.
